1. What cookies are
Cookies are small text files placed on your device by a website. We also use comparable technologies such as browser localStorage and sessionStorage, and this policy covers those too. They let a site remember your actions and preferences between pages and visits.
This policy applies to the illmsoft.com marketing website and to the ILLM CRM product. It sits alongside our Privacy Policy, which explains our wider handling of personal data.
2. When we need your consent
Under the Privacy and Electronic Communications Regulations and the UK GDPR, we may set strictly necessary cookies without consent, because you cannot use the service without them. Everything else requires your prior consent, which you give through our cookie banner and can withdraw at any time. Refusing optional cookies does not reduce access to the site or the product.
3. Categories we use
3.1 Strictly necessary
Always active. These support security, load balancing, session management, and remembering your cookie choice so we do not ask again on every page.
- Authentication and session — keeps you signed in to the CRM and maintains your session and tenant context. Duration: session, or until sign-out or token expiry.
- Cookie choice record (
illmsoft_cookie_consent_v2) — stores your banner decision, the policy version, and a random visitor identifier inlocalStorage. Duration: until you clear site data. - Security and abuse prevention — supports rate limiting and CSRF protection. Duration: session.
3.2 Analytics — optional
Set only if you select "Accept all". Helps us understand aggregate traffic, which pages are useful, and where people run into trouble, so we can improve the site. We use this in aggregate and do not use it to build advertising profiles.
3.3 Marketing — optional
Reserved for future advertising and campaign measurement, and set only if you select "Accept all". We currently do not load third-party advertising tags. If we begin doing so, we will update this policy, bump the version, and ask for consent again.
4. Our consent record
When you choose "Accept all" or "Reject non-essential", we log the decision so we can demonstrate accountability if asked by a regulator. The record contains your decision, the policy version (currently 2026-03-27), a random visitor identifier stored in your browser, the time, and minimal technical context such as a hashed IP address, browser language, timezone, screen size class, and the page URL.
The identifier is random and is not linked to your name or email unless you separately create an account. We do not use this log to profile you for unrelated purposes, and we keep it for up to 2 years. Legal basis: our legal obligation to demonstrate valid consent, and our legitimate interest in accountability.
5. How to change or withdraw your choice
- On this site: clear cookies and site data for illmsoft.com in your browser settings. The banner will reappear on your next visit and you can choose again.
- In your browser generally:all major browsers let you block or delete cookies, and offer a "do not track" or tracking-protection setting. Blocking strictly necessary cookies will prevent you from signing in to the CRM.
- By asking us: email privacy@illmsoft.com and we will action your preference and confirm.
Browser vendors publish their own instructions for Chrome, Safari, Firefox, and Edge in their respective help centres.
3.4 Website AI assistant
The AI assistant on this site is provided by the IONOS AI voice receptionist service and may store a small amount of data in your browser to keep track of your conversation while you are on the site. This supports a feature you actively choose to use rather than tracking you, and it does not set advertising cookies. What the assistant does with your message and voice content is described in section 7 of our Privacy Policy. If you would rather not use it, simply do not open it.
6. Third-party cookies
Where the product embeds or connects to a third-party service you have enabled — for example a payment page, a calendar, or an email provider — that provider may set its own cookies under its own policy. We do not control those cookies. Payment pages in particular rely on cookies set by our payment processor for fraud prevention, and these are necessary to complete a transaction.
7. Changes to this policy
If we change the categories of cookies we use, or otherwise materially change this policy, we will publish an updated version and increment the version number. Where the change affects optional cookies, the banner will ask for your consent again rather than relying on your previous answer.
